In an operator-supported program, product purchases help support the equipment and service. Your quote should explain exactly what the host provides and which expenses are separate.

What determines eligibility?

Start with daily attendance rather than total company headcount. Hybrid schedules, shifts, visitor access, product demand, and nearby alternatives affect how much a machine is used. Building access matters too: an otherwise suitable location may need freight reservations, vendor approval, electrical work, or a different placement area. There is no universal employee count that guarantees eligibility.

A traditional vending machine may be a practical starting point for a contained snack and beverage selection. A micro market needs additional planning for shelving, circulation, refrigeration, checkout, and security. The assessment should connect the recommendation to your actual space and demand.

Separate equipment from products

Ask whether equipment placement, installation, restocking, and maintenance are included for your location. Confirm who pays for electricity, room cleaning, site preparation, damage, or optional services. Users typically purchase vending products individually unless an employer funds a subsidy.

Pantry service is an employer-funded program, and coffee service needs a quote for equipment terms and consumables. These programs should not be described as free products for the business. Compare proposals using the same attendance and product assumptions.

Put responsibilities in writing

Review notice periods, removal, maintenance reporting, payment support, and what happens if usage falls. Ask who authorizes equipment delivery and how restocking fits the building’s approved hours. Avoid assuming that an installation date or response time is guaranteed without a written commitment.

Prepare for your assessment

Bring an attendance range, operating hours, desired products, room measurements, utility information, and freight access restrictions. Identify who at the property approves the work. After installation, review product availability, waste, purchases, and feedback before expanding the service.
